01Who We Are
This website (iasre-japan.com) is operated by Dent-Shop, organizer of the International Automotive Smart Repair Expo (IASRE) Japan — the Japan edition of the IASRE event series originating from Germany.
In this policy, "we", "us", and "our" refer to Dent-Shop as the data controller responsible for your personal information. IASRE Japan 2026 takes place on December 12–13, 2026 at the Sakai City Industrial Promotion Center in Osaka, Japan.
Our commitment: We collect only what we need, use it only for the purposes you'd reasonably expect, and never sell your personal information to third parties.
02Information We Collect
We collect personal information in the following situations:
When you contact us
If you use our contact form or email us directly, we collect your name, email address, subject, and message content. If the topic you select relates to exhibiting, sponsorship, press, or championship entry, your message may also be shared with the relevant IASRE team member.
When you register as an exhibitor or sponsor
We collect business contact details (company name, contact person, email, phone, country, billing address), booth preferences, and payment information processed via Stripe or PayPal. We do not store full payment card numbers on our servers.
When you enter the PDR Championship
We collect your full name, email, country, company affiliation, and competition category. This information is used for registration, results tracking, and, where relevant, public display of championship standings.
When you purchase a visitor ticket
Ticket purchases are handled by Ticket Tailor, our online ticketing partner. They collect your name, email, and payment details on our behalf and provide us with attendee lists for event management. See their privacy policy at tickettailor.com/privacy.
Technical information
Like most websites, our server logs may record IP addresses, browser type, and pages visited for security and site reliability purposes. This data is not linked to your identity unless you've submitted a form.
03How We Use Your Information
We use the information we collect to:
- Respond to your enquiries and provide information about the event
- Process and manage exhibitor, sponsor, and championship registrations
- Issue tickets, invoices, and payment confirmations
- Send event-related communications (schedule updates, venue info, reminders)
- Compile exhibitor lists and floorplans for publication on the website and in printed materials
- Operate, maintain, and improve the website
- Comply with legal obligations, including invoicing and tax record requirements
We do not use your data for automated decision-making, profiling, or targeted advertising, and we do not share it with third parties for their marketing purposes.
04Legal Basis for Processing
Depending on the context, our legal basis for processing your personal data is one or more of the following:
- Contract — to fulfil our obligations when you register as an exhibitor, sponsor, competitor, or ticket holder.
- Legitimate interest — to respond to enquiries, operate the event, and maintain website security.
- Consent — where you voluntarily provide information via our forms or opt into specific communications.
- Legal obligation — to retain financial records as required by Japanese tax law and comparable obligations in other jurisdictions.

To operate this website and event, we use the following third-party services. Each is bound by its own privacy policy and applicable data protection agreements:
06How Long We Keep Your Data
We retain personal information only for as long as necessary for the purpose it was collected:
- Contact form submissions: up to 24 months after last correspondence
- Exhibitor, sponsor, and championship records: for the duration of the event plus 7 years for tax and legal record-keeping as required under Japanese law
- Ticket purchase records: as per Ticket Tailor's retention policy and our own tax obligations
- Server logs: up to 90 days
After these periods, data is either deleted or anonymized so it can no longer be linked to you.
07Cookies
This website uses only essential cookies required for basic functionality — such as maintaining your session if you log in as an administrator, or remembering form input during multi-step registration. We do not use:
- Third-party analytics cookies (no Google Analytics, no Meta Pixel)
- Advertising or retargeting cookies
- Social media tracking cookies
Because we rely only on strictly necessary cookies, no cookie consent banner is required under current GDPR and Japanese APPI guidance. Third-party services you interact with (e.g. Stripe, PayPal, Ticket Tailor) may set their own cookies during checkout — please refer to their privacy policies.
08Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Right of access — request a copy of the personal data we hold about you
- Right to rectification — correct inaccurate or incomplete data
- Right to erasure — request deletion of your data, subject to legal retention obligations

09International Data Transfers
IASRE Japan is a Japan-based event with international exhibitors, competitors, and visitors. Your personal data may be transferred to and processed in:
- Japan — primary storage and event operations
- Croatia / European Union — shared with Mr. Igor Koronić (International Coordinator) for exhibitor and sponsorship coordination
- United States, United Kingdom, and European Union — via our third-party service providers (Stripe, PayPal, Ticket Tailor, hosting)
Where data is transferred outside the European Economic Area, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions to protect your information.
10Security
We use industry-standard technical and organizational measures to protect your data, including HTTPS encryption across the entire website, secure WordPress hosting, regular software updates, and access controls limiting who can view submission data. Payment processing is handled entirely by PCI-DSS compliant providers (Stripe, PayPal, Ticket Tailor) — we never see or store your full card details.
No method of transmission or storage is 100% secure. If a data breach affecting your personal information occurs, we will notify you and the relevant authorities as required by law.
11Changes to This Policy
We may update this privacy policy from time to time to reflect changes in our practices, services, or legal obligations. The "Last Updated" date at the top of this page will always reflect the latest revision. For material changes, we will notify registered exhibitors, sponsors, and competitors by email.
