Exhibitor Terms & Conditions

In Short

  • Your booth is confirmed only after we receive full payment.
  • Counterfeit, copied, or clone products are not allowed at this event.
  • You may take down your booth only after the event closes on 13 December.
  • You are responsible for your own products and insurance.

Application & Acceptance

1.1

Sending the registration form is an application. It is not a confirmed booking.

1.2

Your booth is reserved only after we receive full payment. Booths are limited and given on a first-come, first-served basis.

1.3

We decide which applications to accept. We may decline an application without giving a reason.

Product Integrity & Event Standards

2.1

IASRE-JAPAN does not accept counterfeit, copied, or clone products. Even after an application has been submitted or accepted, IASRE-JAPAN reserves the right to refuse or cancel an exhibitor if such products are found or if the organizer determines that the exhibitor does not meet our event standards.

2.2

All products, branding, and marketing materials you show at the event must be genuine. They must not copy or violate another company's patents, trademarks, or designs.

2.3

We may inspect your products at any time, before or during the event. If we believe a product breaks rule 2.1 or 2.2, we may ask you to remove it immediately, or remove you from the event.

2.4

If you are refused or removed under this section after the event has started, or within 30 days before the event, your fees are not refunded.

Booth, Fees & Allocation

3.1

The booth fee is USD 1,650 per booth. Full payment is due at registration, by Stripe or PayPal.

3.2

Each booth includes a table and a white tablecloth. There are two table sizes (180 × 60 cm and 180 × 45 cm) in limited numbers. Event staff assign the table sizes — you cannot choose your size in advance.

3.3

We decide booth positions. We will consider your requests, but we cannot guarantee them.

3.4

You may not share, rent out, or transfer your booth to another company without our written permission.

Sponsor & Promotional Items

4.1

Sponsor items (wall banners, window banner, licence plate covers, banner stands, wristband sponsorship) are limited. The limits are shown on the registration form.

4.2

Wristband sponsorship is for one sponsor only.

4.3

You must send us your artwork and materials by the deadline given when you order. If they arrive late, the item may not be produced or displayed, and there is no refund.

4.4

We must approve all promotional content. Section 02 (Product Integrity) also applies to it.

Cancellation & Refunds

5.1

To cancel, write to info@dent-shop.com.

5.2

Refunds follow this schedule:

Cancel in writing before 1 October 2026

50% refund

Cancel on or after 1 October 2026

No refund
5.3

If we cancel the event for reasons within our control, we refund your booth fee in full. We do not pay for your other costs, such as travel, hotels, shipping, or production.

5.4

If the event is cancelled, postponed, or restricted for reasons outside our control (for example: natural disaster, epidemic, or government order), we may offer to move your fees to a new event date, or give a partial refund after deducting costs we have already paid.

Setup & Dismantling

6.1

Booth setup is on Friday 11 December 2026, from 12:00 to 19:00 (the day before the event). You must finish your setup before the venue opens to visitors.

6.2

You may take down your booth only after the event officially closes on 13 December 2026. Early teardown is not allowed. This keeps the event safe and professional for visitors and other exhibitors.

6.3

Remove all your materials and leave your space as you found it. We will charge you for any disposal or damage costs.

Liability & Insurance

7.1

You are responsible for your own products, equipment, and personal property at all times. We are not responsible for loss, theft, or damage to your property.

7.2

You are responsible for any damage you cause to the venue or to other people. We recommend that you carry liability insurance.

7.3

For any claim against us, our maximum liability is the booth fees you paid.

Conduct & Compliance

8.1

Follow all venue rules, fire and safety rules, and instructions from event staff.

8.2

Act professionally toward visitors, other exhibitors, and staff. We may remove an exhibitor whose behaviour harms the event, other exhibitors, or visitors — without refund.

8.3

Sales and demonstrations must stay inside your own booth space.

Photography & Media

9.1

Photographers, video teams, and local media will cover the event. By exhibiting, you agree that we may use photos and videos of your booth, staff, and products in our promotion and media coverage.

10

Data Protection

10.1

Your registration data is handled by Dent-Shop Japan (data controller: Mr. Hiroshi Fujii, info@dent-shop.com). We use it only to run the event. We do not sell it or share it with others, except where needed to run the event (for example, payment processing).

11

General

11.1

These terms follow the laws of Japan. Any dispute will be handled by the courts of Osaka, Japan.

11.2

We may update these terms when reasonably necessary. We will inform registered exhibitors about important changes.

11.3

If one part of these terms is found invalid, the rest still applies.
